About the Role

As a People Assistant you will play an important role to ensure all onboarding tasks and broader people services activities are delivered to the required standard and within established SLE’s. You will ensure that all new colleagues onboarded to the Company have been done so compliantly and in line with right to work and employment legislation. You will be responsible for managing your own workload of new starters, taking them from offer, through to right to work checks and issuing contracts of employment and processing within SAP Success Factors. Building a strong relationship with our wider People Services teams such as Talent Acquisition, L&D and Payroll is key to the role. You also will build relationships with wider teams outside of the People Team such as Area and Store Managers, as well as Business Development Partners and Practice Owners. You will also be involved in the colleague administration process from pre-employment and changes throughout the colleague life cycle ensuring colleague data is accurate from the moment our colleagues start, through to promotions, transfers, and leavers.

The role will also require you to provide support to the Colleague Relations team where necessary on an adhoc basis.

Key Responsibilities

  • Responsible for ensuring a seamless transition for the candidate from recruitment and initial offer through to start date.
  • Manage own workload and new starter process from offer through to first day, ensuring line managers and Practice Owners are kept informed appropriately.
  • Ensuring that Right to Work documentation for all new starters is received and valid prior to a colleague’s first day in the business.
  • Creating and sending contracts of employment to colleagues.
  • Ensuring all required documentation is received and the colleague is processed in Success Factors accurately and prior to their first day. Chasing colleagues and line managers where necessary.
  • Ensure that colleague sensitive data is protected and processed appropriately.
  • Be the first point of contact for the People Services Onboarding team, ensuring that queries via telephone, email or Teams are answered professionally and promptly, or escalated to the People Coordinator for action.
  • Work closely with your peers to ensure a seamless delivery of service is given by understanding their roles/challenges and responding to these by working together to deliver improvements.
  • Proactively look for ways to enhance service provision to all stakeholders.
  • Ensuring all correspondence to stakeholders has the appropriate tone depending on the recipient.
  • Escalate queries to Colleague Relations or relevant team where necessary if out of Onboarding remit.
  • Responsible for the colleague administration processes from pre-employment and changes throughout the colleague life cycle ensuring colleague data is accurate from the moment our colleagues start, through to promotions, transfers, and leavers.
  • Proactively manage and be responsible for all administrative processes, ensuring all relevant documentation is obtained and colleague’s files are fully completed and compliant, in order to meet audit requirements.
  • Completing changes to colleague records within Success Factors.
  • Ensure that you always work within the boundaries of current right to work legislation and the Data Protection Regulations when handling colleague data and throughout the activities or projects you are involved in.
  • To demonstrate the values and behaviours of the Company and display high standards of integrity and professionalism towards colleagues and all stakeholders.

About You - Essential

About You – Desirable

  • CIPD Level 3
  • Working knowledge of SAP HR Success Factors (full training provided)
  • Experience working within a People/HR team.
  • Basic understanding of Employment Law, specifically in relation to Eligibility to Work in the UK and Statutory requirements.
