Key Responsibilities:

  • PPM tool administrator & champion for PPM tool service improvements e.g. maintaining Security Groups, building Dashboard Widgets etc, reviewing release notes and recommending features to be enabled.
  • Liaises with the PPM tool Supplier regarding system issues, queries or new requests.
  • Build, maintain & improve Power Apps for capturing Portfolio data in Sharepoint Lists that feed into Power BI Reports, Insights and Dashboards to support the ambition of becoming a paperless PMO.
  • Power BI Dashboard development & maintenance, to build Portfolio views when the PPM tool cannot or using data capture in Power Apps, Sharepoint or O365.
  • Part of the team that manages data integrity on the PPM tool including e.g. plans, budget, risks, issues and dependencies. Generates exception reports and completes analysis to identify issues with data quality and advise remedial activity.
  • Acts as an SME to support/guide others in using the PPM tool to improve data accuracy.
  • Undertakes regular deep dives and analysis on the data, for example, establishing lessons learned trends, common risks or issues across the portfolio and makes recommendations.
  • Supports the generation and distribution of regular Portfolio reports from the PPM tool (Keyed In).
  • Produces ad hoc Portfolio reports from the PPM tool as required for Group IT.
  • Quality controls the weekly status reports generated by the Project Teams.
  • Acts as an SME to support other teams generating reports from the PPM tool.
  • Supports project budget and financial activities.
  • Generates & maintains Dashboards on Keyed In, and Power BI.
  • Looks to automate report generation wherever possible.
  • Supports Project reviews & Assurance meetings, issuing the invites and agendas issuing actions and tracking completion.
  • Supports the Stage Gate reviews; issuing the forward view of Stage Gates, following up to ensure all the Stage Gates are scheduled and/or the target date for reviews are updated and recording the outcome of the reviews.
  • Responsible for moving projects through the stages of the project framework on the PPM tool following Stage Gate reviews.
  • Understands the Portfolio Resourcing approach and can support with the Resourcing reviews and reporting as required.
  • Acts as an SME to support colleagues by providing guidance about what is required during each stage of the project delivery framework and how to engage with teams or processes that support delivery.
  • Supports the development of the project framework such that it can adapt to the different approaches required for delivering change.
  • Maintains the Change Governance Teams and SharePoint site, keeping the information and templates up to date.
  • Communicates project framework updates on the Teams Channel or other forums as required.
  • Looks for ways to improve the project framework and associated processes to support change being delivered at pace and in a consistent manner.
  • Acts as a key point of contact for onboarding new starters into the Change Team, providing an introduction to the project framework and key processes/stakeholders.

Key Experience:

  • Prior proven experience of working within a centralised PMO function or Portfolio Management Office.
  • Experience of working within a fast paced Change environment.
  • Understanding of project delivery methods and associated controls
  • Strong organisation skills in order to manage and prioritise workload.
  • Excellent communication and interpersonal skills with ability to influence and challenge key stakeholders.
  • Experience of reviewing project data to identify quality issues, anomalies or errors that need correcting and managing the corrective actions.
  • Experience of tracking key metrics relating to project delivery
  • Experience in generating reports in PowerPoint, excel and/or from a PPM tool.
  • Experience in building Power BI Dashboards

Desirable Experience:

  • Experience working with a project and portfolio management tool, eg Keyed In
  • Experience of working with Microsoft O365, Microsoft Teams and SharePoint
  • Experience working with Microsoft Project
  • Experience of building & maintaining PowerApps
  • Understanding of how generative AI can be used in a PMO environment.
