About the Role

The purpose of this role is to work as part of the Development and Facilities team accountable for the day-to-day processing of invoices and quotes across Group Facilities to include all reactive and capex invoices, reactive budget management support, and costs / service audits support.

Key Responsibilities

  • Working as part of a team, accountable for the day-to-day processing of all group Facilities invoices and quotes covering both reactive and capex contractor spend in-line with budgets.
  • Supporting Retail and Vets Facilities teams.
  • Supporting the Cost Management Supervisor, Retail Facilities Manager, Management Accounts and Procurement with period accruals and monthly budget reports.
  • Responsible for supporting the Cost Management Supervisor with developing and managing contractor relationships on invoicing, costs escalations and quotes.
  • Supporting the Cost Management Supervisor to ensure audits are completed on both reactive and capex jobs for the Tier 1 contractors and the internal Helpdesks.
  • Supporting with the generating of reports and validating contractor invoices against schedule of rates, average equipment costs and time on site to drive best value and costs reduction opportunities.
  • Day to day processing of all Facilities reactive and capex invoices ensuring they are paid on time and coded correctly.
  • Managing contractor invoice and quote queries, supporting escalations with contractors, and ensuring contracts don’t get put on hold.
  • Supporting with weekly reporting on all invoices that have been processed to Vets / Pets Facilities Managers and Management Accounts.
  • Daily monitoring of the contractor invoice/quote mailbox.
  • Ensuring the Facilities system is updated with the latest invoices and work order status is correct.
  • Supporting with the management of raising purchase orders and closing jobs where required to ensure contractor payment terms are met.
  • Supporting with the Tier 1 contractor audits ensuring that service requirements are as agreed KPI’s, and feedback is reported.

  • Great planning, prioritisation, and organisation skills to support in our cost reduction journey.
